The formulas
Staff cost = recruiting hours × average hourly staff cost
Total recruiting cost = cash spend + staff cost
Cost per result = total recruiting cost ÷ number of that result
Use cash spend for costs you actually incurred: job posts, ads, sourcing subscriptions, purchased leads and the share of software costs attributable to this cohort. Include sourcing, screening, messages, follow-up, interviews and administration in staff hours. If people have different rates, use total staff cost divided by total hours as the average rate. Do not add the same labor cost to both cash spend and staff hours.
Why LinkedIn and ZipRecruiter can cost more than the invoice
A platform invoice does not show how long your team spends finding, screening and following up with applicants. A low application cost may still produce an expensive held interview. On the other hand, a more expensive source can be worthwhile if it consistently produces candidates your agency can serve. This tool measures your inputs; it does not claim that either platform performs better or worse overall.

Frequently asked questions
What if I have no interviews or contracts yet?
The cost per outcome cannot be calculated with zero outcomes. The calculator reports that instead of showing a misleading $0. A blank outcome means you have not supplied that number.
Is cost per lead the same as recruiting ROI?
No. Cost per lead measures acquisition expense at one stage. ROI also requires reliable revenue or margin information and an appropriate time period. This calculator does not estimate revenue, profit or future results.
Can I use this before running a campaign?
Yes, as a planning scenario. Enter your assumptions, label your results as estimates and replace them with actual figures later. The calculator's arithmetic cannot validate an assumed conversion rate.
